Liaison 360 is a platform operated by White Eudicots Private Limited ("we", "us", "our"), a company incorporated under the laws of India. This Privacy Policy explains how we collect, use, store, share, and protect personal data of all users including educational institutions, students, staff, vendors, consultants, and associated stakeholders who access or use the Liaison 360 platform at www.liaison360.com and its associated mobile applications.
This policy is issued in compliance with the Digital Personal Data Protection Act, 2023 (DPDP Act) and the Digital Personal Data Protection Rules, 2025, and governs the processing of all digital personal data collected through our platform. White Eudicots Private Limited acts as the Data Fiduciary as defined under the DPDP Act.
By using Liaison 360, you acknowledge that you have read, understood, and agreed to this Privacy Policy. If you do not agree, please discontinue use of the platform.
2. Data We Collect
We collect personal data that is necessary to provide platform services. This includes:
From Institutions:
- Institution name, registration details, address, board/university affiliation
- Contact details of authorised representatives (name, email, phone number, designation)
- Institutional documents for verification (where applicable)
- Procurement requirements, staffing requirements, consulting needs
From Students:
- Name, date of birth, gender, contact details
- Academic records and qualification details
- Scholarship and admission inquiry information
- Documents submitted for the Swapn Setu scholarship programme
From Staff and Vendors:
- Name, professional details, qualifications, contact information
- Business and service details
- Banking and payment details (for transactions, where applicable)
From All Users:
- Login credentials (email/phone and encrypted password)
- IP address, device type, browser, and usage data collected automatically through cookies and analytics tools
- Communication records including support queries and platform interactions
We collect only the data that is necessary for the stated purpose. We do not collect sensitive personal data unless it is required for a specific service and appropriate consent has been obtained.
3. Consent
We process your personal data only with your free, specific, informed, unconditional, and unambiguous consent as required under the DPDP Act 2023. Consent is obtained at the point of registration and before any data collection beyond what is strictly necessary for platform access.

4. Purpose of Data Processing
We use collected data only for the following purposes:
- Creating and managing user accounts and institutional profiles
- Processing admissions inquiries, scholarship applications, and student engagement
- Facilitating procurement, vendor matching, and supply coordination
- Supporting hiring, staffing, and recruitment workflows
- Providing consulting, legal support, and capital advisory services
- Delivering the Institutional Improvement Scan (IIS) and Performance Diagnostic Reports
- Generating dashboards, analytics, and institutional performance insights
- Communicating service updates, platform notifications, and support responses
- Complying with legal obligations and regulatory requirements
We do not use your data for purposes beyond those listed above without obtaining fresh consent.
5. Data Retention
We retain personal data only for as long as is necessary for the purpose for which it was collected or as required by applicable law. Specifically:
- Active user account data is retained for the duration of the account's active status
- Institutional records are retained for a minimum of 3 years after the last transaction or engagement
- Student data is retained for the period required for scholarship or admission processing, and up to 2 years thereafter unless extended retention is required by law
- Payment and transaction records are retained for 8 years as required under Indian financial regulations
Upon expiry of the retention period, data is securely deleted or anonymised. Users may request early deletion subject to legal retention obligations (see Section 7).
6. Data Sharing
We do not sell, rent, or trade your personal data to any third party for commercial purposes. Data may be shared only in the following circumstances:
- With verified vendors, consultants, legal professionals, or staffing partners on the platform — only the information necessary for service delivery
- With payment processors and banking partners for transaction processing
- With government authorities, regulatory bodies, or law enforcement when required by applicable law or court order
- With technology service providers (cloud hosting, analytics, security) who process data on our behalf under strict data processing agreements
- With any successor entity in the event of a merger, acquisition, or restructuring of White Eudicots Private Limited
All third parties with whom data is shared are contractually bound to protect it in accordance with applicable law.
7. Your Rights as a Data Principal
Under the DPDP Act 2023, you have the following rights regarding your personal data:
- Right to Access: You may request a summary of the personal data we hold about you and the purposes for which it is being processed
- Right to Correction: You may request correction of inaccurate or incomplete personal data
- Right to Erasure: You may request deletion of your personal data where it is no longer necessary for the purpose it was collected, subject to legal retention obligations

Liaison 360 uses cookies and similar tracking technologies to improve platform performance, remember user preferences, and analyse usage patterns. Cookies may be:

When you first access the platform, you will be asked to consent to non-essential cookies. You may withdraw cookie consent at any time through your browser settings or the platform's cookie preference centre. Note that disabling cookies may affect certain platform features.
9. Children's Data
Liaison 360 processes data of users under the age of 18 (minors) only for purposes directly related to scholarship applications and admissions through the Swapn Setu programme. We do not engage in tracking, behavioural monitoring, or targeted advertising directed at minors.
Processing of a minor's data requires verifiable parental or guardian consent where required under applicable law. Institutions using the platform to manage student data are responsible for ensuring appropriate consent has been obtained from students and their parents or guardians.
10. Data Security
We implement appropriate technical and organisational security measures to protect personal data from unauthorised access, disclosure, alteration, or destruction. These measures include encrypted data storage, secure transmission protocols (HTTPS), access controls, and regular security audits.
In the event of a personal data breach that is likely to cause harm to data principals, we will notify the Data Protection Board of India and affected users promptly as required under the DPDP Act 2023.
11. Cross-Border Data Transfer
Liaison 360's primary data processing infrastructure is located in India. If any personal data is transferred to or processed in servers located outside India, such transfer will be carried out only in compliance with the applicable provisions of the DPDP Act 2023 and only to countries or entities that provide an adequate level of data protection.

13. Changes to This Policy
We may update this Privacy Policy periodically to reflect changes in our platform, services, or applicable law. Continued use of the platform after such notification constitutes acceptance of the updated policy.
